Aggie Royals 2019 Masquerade Ball
Aggie Royals is a service and leadership women’s organization at Texas A&M with mission to develop strong women into leaders who embody and uphold the values of Texas A&M through our three pillars: commitment, integrity, and service. Each semester the social committee of Aggie Royals develops, plans, and carries out a minimum of six events, one of which includes our Formal in the Fall and Semi-Formal in the Spring. The purpose of our Formal is to bring all our girls together for a night of music, dancing, and sweet treats, to the end semester off on a blissful note. Our 2019 Masquerade Formal took place at Wind Dancer Retreat on Friday, November 22, and included a photo booth, photographer, DJ, snacks, and various elements of decor.
As Social Chair of Aggie Royals, when it comes to our Formal I am tasked with finding the venue, booking the DJ, ordering the decorations, picking out the food, scheduling a photographer, ensuring we stay within our budget, and keeping track of all invoices to be distributed to our Treasurer. Furthermore, I am in charge of delegating tasks within my committee of six girls to help set-up and tear-down the event. Lastly, as Social Chair I am tasked with ensuring that the girls of Aggie Royals have an unforgettable night.
Planning formal for Aggie Royals has taught me many aspects that I will be able to utilize in my future career as an event coordinator. For our 2019 formal, I faced tremendous issues when it came to booking the venue. Our first venue for this event had realized a week out from our set date that they would not be able to accommodate us. Hence, I had to find a venue within a week for our event, as well as notify our DJ, photographers, and members of the sudden change. Additionally, once we had located our venue, we realized the distance would be far too great for our members. Hence, I automatically initiated a bus service search and was able to locate and book three buses that would accommodate our budget and our members. From this situation, I learned it is best to ensure the venue is booked and paid for before notifying any members where our formal will be taking place. Furthermore, while our venue was changed last minute, we had bought our decorations out months before the event. Doing so, ensured that we could effectively communicate with the new venue about how many tables we needed, chairs, and were able to effectively pick linens to match our theme. Finally, through this event, I learned the importance of communicating effectively with your team. My social committee not only took it upon themselves to help me find another venue but helped ease the tension with the girls in Aggie Royals by informing them of the change. Hence, we were able to assure the message of change in location was distributed efficiently and effectively.
